Terms and Conditions

Passport terms of use

The rules of the relationship between DentGrow and your clinic — including the data processing agreement required by the GDPR.

Version of 05/10/2026.

This translation is provided for information only. The Portuguese version is the binding one; in case of any discrepancy, the Portuguese version prevails.

1. The service

Passport is a DentGrow platform for recording, looking up and sharing the digital dental implant passport. It is intended exclusively for dental professionals and their clinics. The account belongs to the clinic; each user account is personal and non-transferable.

Passport is a platform of DentGrow, a brand of Martins & Moscoso Lda, company registration and tax number (NIPC) 517258935, with registered office at Rua do Cruzeiro, n.º 186, 1.º Dto., 4980-604 Ponte da Barca, Portugal, which is the entity that contracts and invoices.

2. The clinic's responsibilities

The clinic warrants that it only records data of patients from whom it has obtained explicit and informed consent, that the data entered is accurate, and that access to the platform is restricted to authorised professionals. The clinic is the controller of its patients' data within the meaning of the GDPR.

3. Data processing agreement (Art. 28 GDPR)

By using Passport, the clinic (controller) appoints DentGrow as processor of its patients' personal data, solely to provide the service described in these terms. DentGrow undertakes to: process the data only on documented instructions from the clinic; ensure the confidentiality of those who process the data; apply the technical and organisational measures described on the Security page (encryption, per-clinic isolation, audit trail); assist the clinic in responding to data subjects' requests; notify the clinic of any personal data breach without undue delay; delete or return the data at the end of the contract; and make available the information needed to demonstrate compliance. The use of sub-processors (infrastructure in the European Union, payment processing) is generally authorised, and DentGrow undertakes to impose the same obligations on them.

4. Groups of clinics (Enterprise plan)

4.1 A company that owns several clinics may subscribe to the Enterprise plan and manage its clinics as units of a group. All units have the features of the Premium Plan and are paid for by the group.

4.2 The company that owns the group is the controller of the patient data of all units belonging to it, and appoints DentGrow as processor under section 3. Whoever administers the group has access to the patients and passports of all units.

4.3 A clinic belonging to another entity may join the group by invitation. By accepting, it declares that: (a) there is an agreement between it and the company that owns the group framing that access under the GDPR, either as joint controllers (Article 26) or as processing on behalf (Article 28); (b) anyone accessing the data through the group is bound by professional secrecy or an equivalent duty of confidentiality (Article 29 of Portuguese Law no. 58/2019); and (c) it has informed the patients, where required. DentGrow carries out the access the clinic authorises and is not a party to that agreement.

4.4 A clinic that joined by invitation may leave the group at any time. The access of whoever administers the group ends at that moment, and the data stays with the clinic.

4.5 The Enterprise plan includes 3 units for €249.90 per month, plus VAT at the applicable statutory rate. Each additional unit costs €79.90 per month, plus VAT at the applicable statutory rate. A group counts as one entity for the pioneer price in section 5, regardless of the number of units. With the pioneer price, the base costs €179.90 per month, plus VAT at the applicable statutory rate, and each additional unit €59.90 per month, plus VAT at the applicable statutory rate; the price is kept on the same conditions as the other plans. Above 10 units, pricing is available on request. There is no trial period. An increase in units is invoiced immediately; a reduction is credited on the next invoice.

5. Subscriptions and payment

Access is by monthly subscription (Basic Plan, Premium Plan or Personal Licence, with a trial period; or the Enterprise plan, for groups of clinics, on the conditions in section 4). The prices, limits and features of each plan are set out on the plans page. Non-payment suspends access, but never deletes clinical data — which remains available for export.

Pioneer price: the first 100 entities to subscribe — counted together across all plans, including Enterprise, in the order in which they activate the subscription (the price is fixed at that moment, before the trial period) — pay the pioneer price shown on the plans page for the plan they choose. That price is kept while the subscription remains active without interruption, and follows a change of plan: anyone moving from the Basic Plan to Premium (or the reverse) pays the pioneer price of the new plan. If the subscription is cancelled, or ends due to non-payment, a new subscription follows the price in force at that time. From the 101st entity onwards the standard price applies, also shown on the plans page. All amounts are monthly and subject to VAT at the applicable statutory rate.

6. Referral programme

Anyone with an active account may share an invitation link. Whoever creates an account through that link receives 50 points; when that account pays its first monthly fee, the person who invited receives 100 points and the invited account receives another 50. Points are exchanged for benefits in the rewards store, have no monetary value and cannot be converted into money.

Limits: a maximum of 12 rewarded referrals per person in each 12-month period; it does not count anyone who already has an account, anyone who belongs to the same entity as the person inviting, or an account invited by itself. If the monthly fee that gave rise to the reward is refunded or disputed, the corresponding points are withdrawn. DentGrow may suspend or cancel rewards where there are signs of abuse of the programme, and may change or end the programme at any time — points already credited are kept.

The person inviting only sees the number of people who have signed up and of accounts that already pay. The identity of whoever used the link is not disclosed to them.

7. Data ownership and portability

Patient data belongs to the clinic and to the data subjects — never to DentGrow. The clinic may export it at any time (PDF per patient; full export on request), and deleting the account permanently deletes the data, with proof in the audit trail.

8. Limitations

Passport is a recording and traceability tool — it does not replace the patient's clinical record or any legal obligation of the clinic to keep clinical records. DentGrow is not responsible for the accuracy of the data entered by users.
